this notice explains how we are _ collects, uses and protects personal data, and your rights over it.

who we are

we are _ is an architecture and design practice. we are the data controller for the personal data described in this notice, and we are registered with the information commissioner's office (ico). our data protection lead is jack davey, director. contact: andrew@weare-design.co.uk, or by post to the studio at suite 3, ackroyd street, morley, leeds, ls27 8pz.

what we collect and why

• clients and prospective clients, names, addresses, contact details, project information, correspondence and financial details, to provide our architectural services (contract), meet legal obligations, and keep professional records (legitimate interests);
• project stakeholders, contact details of neighbours, consultees, consultants, contractors and statutory officers, to deliver the project and meet statutory processes (legitimate interests; legal obligation);
• freelance staff and suppliers, contact and payment details, to manage engagements and pay invoices (contract; legal obligation);
• enquirers, details you send us by email or through our website, to respond to you (legitimate interests);
• site records, photographs and survey information that may incidentally include people, for project documentation (legitimate interests).

who we share it with

only as the work requires: the consultants and contractors on your project; planning, building control and other statutory authorities; our it and cloud service providers acting under contract for us; and our insurers and professional advisers where necessary. we never sell personal data. data is hosted in the uk or eu; if any service transfers data elsewhere, we ensure equivalent safeguards are in place.

how long we keep it

• project records, 15 years from project completion;
• financial records, 6 years;
• enquiries that do not become projects, 12 months.

your rights

you may ask for a copy of your data, ask us to correct or delete it, restrict or object to our use of it, or ask for it in portable form. we respond within one month. where we rely on consent, you may withdraw it at any time.

complaints

you may complain to us directly about our use of your personal data: write to the data protection lead at the contact details above. we will acknowledge your complaint within 30 days and respond without undue delay, as required by the data (use and access) act 2025. you also have the right to complain to the ico at any time: ico.org.uk / 0303 123 1113.
